- Print all materials—parent letters, consent forms, vaccine information sheets, posters, and flyers

- Provide consent forms to physicians’ offices for promotion of program during summer physicals
- Attend community and school-related events to promote program—utilize volunteers at back-to-school nights, meet-the-teacher days, open-house nights

- Begin distribution of consent forms to schools
- Set deadline for consent form return
- Determine who will be responsible for collection of consent forms from schools (school nurse, health department nurse, Immunization Committee member)

- Inform staff about the program and how to read the consent forms

- Utilize phone system to send message to parents informing them of the program and the need to return consent forms by due date
- Place consent forms on school websites/county websites with a link to CDC website
- If e-mail system is utilized by school, send e-mail to parents informing them of the program and the need to return consent forms by due date
- Send another message 2 days before the clinic is scheduled for your school
- Inform staff about how to interpret program consent forms

- Organize billing binders for each separate school. Binders can be the single reference information sources for everyone involved in the Buy-and-Bill process. As consent forms are collected from schools, they can be placed in the binder. The binder should have a section for children needing a second dose and a section for all other consent forms. These binders will contain sensitive individual personal and health information and are therefore subject to applicable privacy laws and regulations.
- Begin printing all necessary materials (consent forms, Vaccine Information Statements [VISs], etc.)
- PR Campaigns begin using local media, school newsletters, county PHD flyers
- Steering Committee meeting to go over protocols (vaccine storage and handling, number of nurses/clinics, sharps containers needed, etc.)
- Make sure vaccine supply is ample and available and that you have a back-up plan in case of emergency
